General Tuition Terms and Conditions

I understand that I am required to:

  • Pay fees on time. Fees are due in advance on the 1st of each month or on the anniversary of the date you started
  • Students are unable to attend class were fees have not been paid
  • Homework is provided for holiday periods therefore fees cannot be waived for holiday weeks
  • One months notice is required when you leave and all fees must be paid up to the final date
  • Termination must be given in writing - cancellation form provided
  • 48 hours notice in writing is required to change a class session using a Change Request Form
  • Refunds of cost or hours will not be given for missed classes without the required 48 hours notice
  • Catchup sessions must be taken within 14 days of the cancelled session and only in allocated catchup session times
  • Catchup sessions are only given if the 48 hours notice period has been given
  • Catchup sessions will take place on Monday, Tuesday or Wednesday at 5pm to 6pm or 6pm to 7pm Monday
  • We cannot guarantee that students will be allocated to their usual tutor if they have a catchup session, but their usual tutor will set the work
  • Please collect homework from the centre if required
  • Ensure you collect your child within 5 mins of finishing class
  • Comply with our Behaviour Policy for both students and parents
  • Respect and support the professional judgement of staff at centre and act on home actions given to help your child engage and improve with their learning
  • I am aware that the policy of the centre due to the short nature of the sessions is not to administer medicines or first aid while children are at class. Where the child requires treatment we will bring the child to you at the centre for you to administer the relevant treatment.
  • I understand that in the exceptional cases where immediate treatment is required and the parent/carer is not available I agree to the Centre seeking any necessary emergency medical advice or treatment from an appropriately qualified person or persons.
  • I give permission for personal records to be kept in accordance with the General Data Protection Act 2018.
  • I have provided the centre with a password to be used if someone other than the people named on this form are collecting my child.

Registration Forms Policy

  • A Registration Form on Class4Kids must be completed by the parents/carers before the child attends the setting.
  • No child can be accepted without one of these forms being completed.
  • The registration form will clearly show who has parental responsibility.
  • It is a legal requirement for parents/carers to inform us with which parent/carer the child normally lives.
  • In order to keep records up to date and accurate we require parents/carers to complete a new form each September.
  • It is the responsibility of the Instructor and assistants to look at these forms for the child’s medical requirements and for all other information.
  • Registration forms are kept confidential and secure. Current forms must be accessible by the Teaching and Learning and Business Centre Manager at all times
  • All old records will be stored electronically on CLass4Kids for two years.
  • Parents/carers have the right to see all records held on their children at all times.
  • A data protection form will also be completed at the time of registration.

Notes on Parental responsibility and Legal contact

Parental Responsibility is defined as `all the rights, duties, powers, responsibilities and authority which by law a parent of a child has in relation to the child and his property’. Therefore if you have Parental Responsibility you are recognised in the eyes of the law as having all the legal powers to make appropriate decisions in relation to the upbringing of your child.

Only a person with PR can give valid consent for medical permissions etc. It is possible to delegate the responsibility of looking after a child to a child minder, teacher, friend or relative but the person with parental responsibility is still liable and responsible to ensure that proper arrangements are made for the child. This must be given in writing.

Who has PR?

The Children Act 1989 sets out who has PR

A mother automatically has PR for her child, as does a married father irrespective of whether the marriage to the mother occurred before or after the birth of the child.

As from the 1st December 2003, unmarried fathers of children whose birth is registered on or after this date, provided they are named on the birth certificate of the child, also have Parental Responsibility

A step parent, even if married to a parent of children does not automatically acquire PR for a child. This needs to be legally obtained through the courts.
